What personal data we collect and why we collect it

Trove Content

Trove content refers to the Treasures, Memories, Documents, Comments, and any other information you want to share with other members of a Trove. The collection and sharing of this content among Trove members is the purpose behind Family Treasures.

With the exception of photographs and other files you upload to your trove, all Trove Content is stored in the cloud in an Azure Cosmos database.

Photographs and other files are stored in Azure Blob storage.

Trove-level backups are also stored in Azure Blob storage.

With the exception of using AI Assist to offer suggested values for names, descriptions, categories, etc. to items, any time any Trove content leaves your device, it is encrypted using a private "Trove Key" that is only shared with other members of the Trove. Family Treasures staff does not have the ability to access your private Trove content.

User Accounts

When a user creates an account to access trove(s) on the site, we capture their valid email address to be used as a login name and for communications related to site and/or trove notifications.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their own personal information at any time. Website administrators can also see and edit that information.

When a user purchases a trove subscription, we attempt to determine the time zone of the user to associate with the trove, so that certain operations and reports will reflect date transitions that make the most sense for the trove.

Family Treasures does not collect or store your payment information. Instead, we partner with Stripe for payment processing on our behalf. When a user subscribes to Family Treasures, they are briefly directed to the Stripe service which provides the protection for your personal information and for our financial transactions.

Comments and Discussions

There are several areas in the site that allow Trove members to leave comments. Each comment is associated with the Family Treasures user account used to create the comment. Amy moderation of those discussions is the responsibility of the trove owner.

Operational Logs

To aid in our troubleshooting of performance and stability issues, we log all interactions with the site and these logs are maintained for a period of days, weeks, or months, depending on the log. These logs contain information about the user, including but not limited to their IP address, nature of interaction, and time of interaction. We do not keep such logs indefinitely.

Cookies

Our service uses cookies and may at some point also use other similar technologies, such as pixels or local storage, to help provide you with a better, faster, and safer experience.

In particular, we currently make use of the following cookies to manage your logged-in experience:

  • .AspNetCore.Antiforgery.*
  • .AspNetCore.Identity.Application
  • ARRAffinity
  • ARRAffinitySameSite

Most of these cookies are removed at the end of each session. Some cookies, such as the "ShowHelpTips" cookie, will remain between sessions to hold user-preferences.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/.

Media

If you upload images to the website, you may want to avoid uploading images with embedded location data (EXIF GPS) included. Similarly, since trove members will have access to any documents you upload, you should be careful not to upload any content you do not want to share with all the members of your trove.

Who we share your data with

We do not share your data outside of the Family Treasures website and its underlying service providers and then only to the extent necessary to provide our services. For example, to provide automatic Item labeling for users and Troves that have opted in to that feature, we send a small version of a Item's photo and the categories that have been defined in that Item's Trove to an AI service provider. That provider examines the image to provide name, description, and recommended category or other fields enabled within the Trove, but then immediately deletes the image and category information. We have assurances that no data is retained by the 3rd party and customer data is NOT used for training of the 3rd party AI models. For more details on how we use AI Services, see: AI Assist and Content Moderation.

How long we retain your data

Data added to a trove, whether in the form of a Treasure, a Memory, a Document, or a Comment or any other kind, is retained indefinitely. Deleting an item (e.g., Photo, Treasure, Memory, Document, Comment, etc.) does not automatically remove it from our data storage in that it might be retained as a backup for possible future restore purposes.

When a Trove is explicitly deleted, we remove all data contained within the Trove. This will include all Treasures, Memories, Documents, Comments, Backups, etc., but does not include user accounts of users who might have been participants in the Trove.

When a Trove subscription expires, we retain the Trove for a grace period, during which the trove owner has the option of purchasing a new subscription or explicitly deleting the Trove. During the grace period, users will experience significant restrictions on what they can do with the Trove. After the grace period, all data contained in the Trove will be removed from our servers and will not be recoverable. It may persist indefinitely on devices where it had already been downloaded but may be deleted at any time by the browser according to the policies of the browser.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
